You can also use forums or chats to facilitate discussions or run Q&A sessions.

You can use KentPlayer Webcasts or Microsoft Teams Meetings to run your talks depending on the level of interactivity you want with the audience.

Use the following tips to help you organise and run your conference online, and if you need more help you can always contact us.

Change the Schedule

The pacing of your conference will need to be different than if you were running it in person. Keeping your audience engaged in a face-to-face setting is much easier, with fewer distractions and the physical presence of other attendees to keep people engaged.

Rethink a schedule of back-to-back presentations; people will be checking their emails in the background!

Instead, consider spreading the schedule out over two or more days. You aren’t restricted to working around a timetable that suits the venue. By spreading the conference out you can give your attendee’s and presenters more breathing room to engage with the content.

If you can’t spread it out, swap it out! Swap one of your scheduled talks for a live Q&A session instead.

An example Conference Schedule, with a mix of live talks and offline activities

<fieldset>
<legend>Contents</legend>

Change the Schedule

Create your Moodle Module

Running Live Sessions

Offline Activities

Reports and Feedback

</fieldset>

Create your Moodle Module

Moodle is the perfect online platform where you can share links to live sessions, share resources and allow interaction between attendees through activities.

Which instance of Moodle should I use?

<colgroup>
<col width="50%" />
<col width="50%" /> </colgroup>

Moodle Live

Moodle External

Available to University of Kent staff and students.

This is the Moodle instance we use for our usual teaching.

Attendees can log in with their Kent IT accounts.

Request a new Module.

Available to University of Kent staff, students, and external attendees.

This is a separate Moodle instance from Moodle Live.

Current University of Kent students and staff can still log in with their Kent IT accounts.

External attendees create an account with a personal email address.

Request a new Module.

See Getting Started with Moodle (PDF download, requires Kent Login).

Enrolling attendees and presenters

If your conference is open for anyone to attend, use self-enrolment.

Alternatively, if there is a sign-up process and you have a list of attendees, you can manually enrol them, or enable self-enrolment with an enrolment key (password) that you can share via email.

Remember that the role you assign your attendees affects what they are allowed to see/do on the module.
