Full details about the finer details of these requirements and how they affect you are <a href=\"https:\/\/www.kent.ac.uk\/library\/research\/open-access\/ref.html\">available on our website<\/a>, and a recent <a href=\"http:\/\/blogs.kent.ac.uk\/isnews\/open-access-and-the-ref-how-are-we-doing\/\">blog post outlining how we are doing <\/a>is also available.<\/p>\n<p>Today&#8217;s blog highlights\u00a0one of the most common problems we deal with\u00a0when we look at KAR, and that is <strong>Versions<\/strong>.<\/p>\n<h2>What version do you need to upload?<\/h2>\n<p>Unless you have published in an Open Access Journal, or <a href=\"https:\/\/www.kent.ac.uk\/library\/research\/open-access\/apc.html\">paid an APC<\/a> to make your work Open Access, the version of the article that needs to be uploaded to KAR must be the <strong>Author Accepted Manuscript<\/strong>.<\/p>\n<p>The simplest way to describe the accepted manuscript is to consider the publishing process, as shown in the diagram below. This shows that the accepted version is the last copy that was edited by one of the authors, before copyright is transferred to the publisher. This is either by you signing a transfer of copyright form, or by the publisher beginning to place their own copyrighted material onto it, such as logos and typesetting.<\/p>\n<p><a href=\"http:\/\/blogs.kent.ac.uk\/isnews\/versions-and-ref-compliance-why-is-it-important\/accepted-version\/\" rel=\"attachment wp-att-9227\"><img loading=\"lazy\" class=\"aligncenter wp-image-9227 size-full\" src=\"http:\/\/blogs.kent.ac.uk\/isnews\/files\/2017\/03\/Accepted-version.jpg\" width=\"707\" height=\"236\" srcset=\"https:\/\/blogs.kent.ac.uk\/isnews\/files\/2017\/03\/Accepted-version.jpg 707w, https:\/\/blogs.kent.ac.uk\/isnews\/files\/2017\/03\/Accepted-version-300x100.jpg 300w\" sizes=\"(max-width: 707px) 100vw, 707px\" \/><\/a><\/p>\n<p>This final accepted version can be uploaded to KAR as a word document or a pdf, although a pdf is preferred.<\/p>\n<p><strong>When you upload your document, make sure that you tell us which version it is!<\/strong> On the Upload page in KAR (see below), there is a section that asks you to choose from a drop down box that tells us which version you have uploaded.<\/p>\n<p><a href=\"http:\/\/blogs.kent.ac.uk\/isnews\/?attachment_id=9260\" rel=\"attachment wp-att-9231\"><img loading=\"lazy\" class=\"alignleft wp-image-9260 size-full\" src=\"http:\/\/blogs.kent.ac.uk\/isnews\/files\/2017\/03\/Versions-1.png\" width=\"702\" height=\"211\" srcset=\"https:\/\/blogs.kent.ac.uk\/isnews\/files\/2017\/03\/Versions-1.png 702w, https:\/\/blogs.kent.ac.uk\/isnews\/files\/2017\/03\/Versions-1-300x90.png 300w\" sizes=\"(max-width: 702px) 100vw, 702px\" \/><\/a><\/p>\n<p>This may sound trivial, but just doing this one extra thing can save everyone time in the long run. If this field is <strong>not<\/strong> completed,\u00a0the tool we use to generate reports <strong>will read your item as non compliant<\/strong>, as it can&#8217;t see whether it is a compliant with the rules HEFCE have set down.
