We have made some changes to the way the Kent Academic Repository (KAR) deals with dates. More than one date can now be associated with an item in KAR. In particular, you can now give an output an advanced/early online publication date and a final publication date if you need to.
New date section
All the bibliographic date information is now in one section in KAR. Click on the drop-down arrow next to each date field to select the date type or “Event” you wish to enter.
You must give an item at least one date. For journal articles and conference proceedings, this has to be the Accepted Date because of the Open Access requirements for the REF. You can allocate as many different date types or “Events” as you wish to an item.
Date types or events
These, and other terms, are defined in our Open Access Glossary.
Accepted Date
Date on which the work has been accepted for publication with all substantive changes made.
Published online date
The date that the Version of Record of the work is first available on a publisher’s online platform. The earliest point at which a publication is officially available, for example ‘advanced online’ or ‘early view’. This is the date that is regarded as ‘publication’ for the purposes of the Open Access requirements for the REF.
Published date
The date of publication as displayed on the publisher’s pages. For example, the date assigned to the issue of a journal by the publisher, or the date listed on a printed book’s title page.
Submitted date
The date that a work is presented to a potential publisher to be considered for inclusion in a journal or a book, or in an exhibition, or in a programme of performances.
Completed date
The date the work is considered finished. For example, when an artefact is presented, a conference paper delivered, or a live performance given. Use for works that will never be formally published.
Existing KAR items
We do regular checks of items in KAR that are marked as “in press” to identify those for which full publication details are now available. We will add final Published Dates to these where they exist and distinguish between Published Online Date and Published Date where there is a need. However, we do not intend to carry out extensive retrospective work to allocate additional dates to all existing items in KAR. If you do have an item of particular concern and wish us to add another date please contact us on researchsupport@kent.ac.uk and we will be happy to do so.
