Preparing your accommodation for vacation or year-end departure

Whether you’re leaving your accommodation for a short vacation, an extended break, or at the end of the academic year, there are a few important steps you should take to ensure your space is secure, clean, and ready for your return or the next occupant. Here’s a handy checklist to guide you through the process.

Essential steps before you leave

Regardless of the duration of your absence, make sure to: 

  • Remove all rubbish: Clear out all trash from your accommodation, including the kitchen and bins. Recycle responsibly and locate your nearest bin store for proper disposal
  • Turn off electrical items: Switch off all electrical appliances and lights—except for the fridge to prevent spoilage
  • Dispose of or take with you all perishable foods: For non-perishables like tinned or dried foods, consider donating them to the Union Food Bank at the permanent donation points located in the Mandela Building and Kent Union Building (Woody’s) at Park Wood
  • Collect mail and parcels: Check your letterbox or reception for any remaining mail or packages
  • Secure windows: Close all windows but leave vents open to allow for airflow
  • Lock doors: Ensure all doors are securely locked before you leave
    Secure valuables: Take valuable or important items with you, or lock them securely in your room if removal isn’t required
  • Return keys/fobs (if applicable): If you’re in part-catered accommodation and leaving for a vacation period, return your keys or fob to reception. Use the drop box if you’re leaving outside office hours. Becket Court and Keynes College residents leaving for spring vacation should follow the additional steps below.

If you’re moving out at the end of your contract or leaving early

In addition to the above, we also ask that when leaving at the end of the year (or moving out of Becket Court or Keynes College for the spring vacation) you:

  • Pack and remove all belongings: All personal items must be removed by 10 AM on your move-out date, as on-campus storage isn’t available. For storage or shipping needs, explore local and national service providers
  • Donate unwanted items: Consider donating clothes, books, and electronics to Kent Union’s STUFF or use British Heart Foundation donation banks located across campus. Check the bins and recycling map for your nearest location
  • Avoid damage during move-out: Be cautious when removing items to prevent damage, such as paint issues caused by adhesive LED light strips. Repair costs may be charged to your account
  • Return keys/fobs: Return these to reception before leaving. Use the drop box if reception is closed or you’re departing outside office hours
  • Dispose or donate all food: Do not leave any food behind. Perishable items should be discarded, while dried or tinned goods can be donated at designated donation points
  • Update your postal address:  It is important to update your address and notify anyone/any companies who send you letters or parcels (including your bank, phone company and any online stores that have saved your preferred delivery address) so that all your mail still reaches you after you have moved out. Even if you’re returning to campus accommodation next year, we cannot accept or forward parcels for students not currently in residence. Read the Post Office’s guidelines on mail redirection.
  • Early departure requirements: If you’re leaving earlier than your contract end date, submit an Application for Early Termination of the Agreement with details of your circumstances. Submission does not guarantee early termination; refer to your Accommodation T&Cs, Handbook, or FAQs for eligibility and more information

Taking these steps will help ensure a smooth transition whether you’re going on vacation, moving out for the summer, or leaving your accommodation permanently. A little preparation goes a long way in avoiding last-minute stress and ensuring your accommodation remains in good condition.
